Job DescriptionThe Production Operations Specialist plays a pivotal role in ensuring the seamless execution of set dressing and scenery requests for *** *** Enterprises productions, projects, and events. Working closely with the Production Operations Supervisor and Set Dresser Supervisor, this role involves meticulous planning, scheduling, and coordination to meet the demands of various shows and clients.
Job Duties:- Collaborates closely with the Production Operations Supervisor to integrate props and scenery requests into the department schedule effectively, ensuring alignment with production timelines and priorities.
- Develops daily schedules to meet the requirements of network productions, projects, and events.
- Assigns personnel and communicates call times to props assistants for all *** *** Enterprises shows, specials, and events at *** Center.
- Maintains daily information updates in the digital SharePoint photo catalog, ensuring accuracy and relevance for various shows, internal stakeholders, and external clients.
- Generates ticket request orders for facility, warehouse, shop, graphic design, security, fleet, and technical operations, facilitating high-quality delivery to clients.
- Procures materials required for special decorations by purchasing from *** or local stores, ensuring timely acquisition and adherence to budgetary constraints.
- Liaises with vendors, tracking requests and deliveries while managing invoice processing.
- Collaborates with the set dresser supervisor to ensure adequate stock of cleaning products and basic materials such as paint, tape, and glue, essential for set operations.
- Assists in the management of PEP (Prop, Equipment, and Personnel) materials, maintaining accurate records and inventory levels.
- Provides support to team members, assisting in various activities as required.
Works under the direct supervision of Sr. Mgr. Production Svcs & Set Dressing and is responsible for completing any other tasks as assigned by Manager or Supervisor as needed.
QualificationsBasic Qualifications:- Minimum 5 years of experience as a production coordinator or a similar role within the entertainment industry with demonstrated proficiency in coordinating complex productions.
- Proven track record of effectively scheduling personnel in a fast-paced production environment, demonstrating the ability to optimize resources and meet tight deadlines.
- Demonstrated understanding of the operations process of a set dressing team, including experience in coordinating and overseeing the execution of set decoration tasks and ensuring the seamless integration of props and scenery into productions
- Proficient with Microsoft Office Suite and exhibits familiarity with digital tools such as SharePoint for data management
- Prior experience managing invoices and overseeing the management of inventory.
- Demonstrated comprehensive understanding of technical guidelines, safety regulations, and operational procedures in a production environment, with a focus on ensuring compliance and mitigating risks
- Fluency in English (both written & verbal)

- Bachelor's degree in Film Production, Communications, Television, Theater Arts, or a related field
- Possesses a creative and operational mindset, thriving in a dynamic and creative environment while maintaining a strong focus on operational efficiency and excellence.
- Prior experience working with industry-standard software tools such as Xytech for allocation costs, Snap for P-card reconciliation.
